The capacity you need already exists. Finding it and putting it back to work is what we do.
Three capabilities. One solution.
Appointments go unused in two ways: some are lost weeks in advance, others in the intensity of the last few days.
Our solution covers both. We predict the appointments that will go unused and determine the optimal way to reach the patient in the way they are most likely to engage with us, encouraging them to attend their appointment. And when a slot opens without warning, or stays at risk despite everything, we fill it.
Deep Medical’s AI agents run all three capabilities in the background on the booking systems your teams already use. The models behind it are our own, evolved over seven years and 1.2 billion data points. Each model is trained prior to deployment into clients.
Predict
Weeks before a clinic runs, our solution identifies the appointments that will go unused. Predictions run at 87% accuracy, and every prediction feeds engagement and backup booking: who to reach, and which slots to protect.
Every missed appointment has a story. Some patients cannot get time off work. Others have childcare to arrange, long journeys, unreliable transport, bad weather, or they simply forget. Hundreds of factors decide whether someone attends. Our solution reads those signals together and identifies who is likely to miss their appointment before it happens.
Engage
Every patient hears from the hospital in the way they are most likely to answer. We learn what works for each patient: the best channel, the right words, at the right time. Personalisation goes beyond how often a message is sent, so more patients engage with their appointment, and more attend.
Every patient has different habits and circumstances. A parent on the school run, someone working nights, a patient who only uses a landline: the same reminder at the same time does not resonate equally. We personalise every contact, using what we know about each patient's likelihood of attending to choose how and when to reach them. The result is that more patients attend, reducing risks to their health.
Fill
We find the capacity and we fill it. Two functions run inside Fill. The refiller automatically offers late notice cancellations to booked patients as earlier appointments. Backup booking protects the appointments most at risk before they are lost, ensuring that each appointment has a patient.
REFILLER
Patients cancel and reschedule, often at short notice. In theory those appointments could be offered to someone else. In practice booking teams rarely have the time: finding the empty slot, working out who is clinically eligible, contacting them, updating the record. Our solution runs that whole sequence itself. It watches for released capacity, identifies eligible patients, contacts them, and can write the new booking back into the schedule. Patients are seen earlier, and capacity is optimised without adding work for booking teams.
BACKUP BOOKING
Most clinics overbook to recover lost capacity, and traditional overbooking runs on fixed rules: assume a set share of patients will not attend, and overbook accordingly. But every clinic, every session and every day is different. Underbook on a day and slots sit empty. Overbook the day and clinics overcrowd, waits grow, and staff absorb the pressure. Our solution sets backup bookings clinic by clinic, session by session, day by day, using each patient's predicted likelihood of attending and each clinic's own history, so utilisation stays high without overwhelming clinicians or patients.
Integration
Our solution runs on the systems your teams already use, including your EPR and PAS. Where you give us a direct connection, we read the schedule, find the capacity and write the booking back ourselves. Where a daily file transfer suits you better, we return the actions to a tab your booking team works from. We build it the way your systems work.
“I’m over the moon as I’m a teacher so taking time off work, especially at the start of a new school year, was going to be tricky. This is amazing! Thank you!”
“I hope this access to earlier appointments scheme will be available for all hospital and GP appointments as it is useful to me and makes the best use of the doctors time.”
